The St. John's Old Boys' Association keeps a register of its old students. This page describes what is on it, who can see what, and what a member controls.

Nothing about a member is published here

No old student’s name, contact details or record appears anywhere on this public website. The members’ directory is behind a sign-in and is available only to other members of the association.

What the register holds

Name, year group, chapter, and whatever contact details the association was given — an email address, a phone number, or neither. A member may add an occupation, an employer, a city, a photograph, a short biography, skills and interests. Subscriptions paid and outstanding are recorded against each member.

Who can see it

Each member decides, field by field. Every contact detail can be set to visible to all members, visible to your chapter, visible to your year group, available on request, or hidden — and phone numbers are on request by default, for everyone, until the member says otherwise. A field a viewer may not see is not sent to their browser at all; it is not merely hidden from the page.

A member may ask another member for a contact detail, giving a reason. The other member grants or declines, may set the grant to expire, and may withdraw it later. A member may also block another, which hides their record from that person entirely.

Officers do not get a wider view

An officer browsing the directory sees exactly what any other member sees. Where an officer genuinely needs a hidden contact detail — chasing a subscription, or reaching somebody about an emergency — they must open that one member’s record and record a written reason. The member is shown who looked, when, and why, on their own privacy screen. There is no way for an officer to reveal a group of members at once.

Messages and mentorship

Mentorship conversations are private to the two people in them. A coordinator cannot read one at will: it takes an open report, a written reason, and both members are notified that it was read, by whom, and why.

Notifications

A member chooses which notifications reach them and on which channel — in the app, by email, by SMS, or as a push notification. Every email carries a one-click unsubscribe that needs no sign-in. Push notifications deliberately carry no message text, contact detail, amount or member ID, because they are drawn on a locked screen by somebody else’s service.

Correcting your record

A signed-in member can change most of their own record immediately. Changes to identity — name, year group, chapter, membership class — are submitted to an officer for approval, because the register is also the roll used for association elections. A request that is refused comes back with a reason.

Asking a question about your data

Write to the association and it will be dealt with by a person.
